Cancellation and Refund Policy
Document details
Version: 0.1.0 (draft). Effective date: none — this draft is not yet in effect, and nothing in it is in force. Last updated: 12 August 2026. Responsible entity: [SPHEROMNI RESPONSIBLE ENTITY — TBD]. Governing law and jurisdiction: [PRIMARY JURISDICTION — TBD]. Contact: [PRIVACY CONTACT — TBD].
Change history:
- Version 0.1.0 (Milestone 19 refresh) — adopted the shared legal boilerplate every document in this set now carries. Editorial only — no term changed, and the document is still not in effect.
- Version 0.1.0 — first draft, written alongside the subscription architecture. No earlier version exists and none has been in effect.
Cancelling a subscription
You can cancel your own subscription at any time from Settings, under Subscription. It is the one thing you can do to your own plan: plans are assigned by staff, because payment is not activated, but nobody has to ask permission to leave one.
Cancellation takes effect immediately. Your account returns to the Free plan the moment the cancellation is recorded. Nothing continues to the end of a period, because no period was ever paid for. The limits your account is held to do not change, since every plan resolves to the same limits today.
A trial can be cancelled the same way, before or after its 14 days are up. Cancelling does not give the trial back: each account has one trial ever, and that record is kept permanently, so a cancelled trial is a spent trial.
Cancelling a subscription does not delete your account or anything stored in it. Deleting an account is a separate request you make from Settings, and it is irreversible — see the Privacy Notice.
Spheromni staff can also cancel a subscription on an account’s behalf. When they do, it is recorded in the platform’s admin audit trail in the same operation as the change.
Getting a plan back
Because nothing can be bought, a plan comes back the same way it arrived: a member of staff assigns it. There is no self-serve re-subscribe control anywhere in the product, and none is drawn, since it would do nothing.
Refunds
There is no refund policy in force, because there is nothing to refund. Payment is not activated: no billing provider is configured, no card details are asked for or held anywhere, no price is published, and no charge has ever been made to anybody. A refund is the return of a payment, and no payment can be made, so no circumstance exists in which one could be requested, granted or refused.
Activates with payment: when payment is activated, after commercial and legal review, this section will be replaced by a real refund policy drafted by qualified counsel. It will have to state at minimum the statutory cancellation and withdrawal rights that apply in [PRIMARY JURISDICTION — TBD], the period in which a refund can be requested, how a request is made and answered, how partial periods are treated when a plan is cancelled mid-period, and how refunds interact with the rule that a move to a lower plan takes effect at the end of a paid period. None of that is in force today, and none of it should be read as a commitment.
Complaints and disputes
There is no billing dispute process, because there are no bills. If something about your subscription state is wrong — a plan you did not expect, a trial you did not receive — you can raise it as a privacy or account request from Settings, which a member of staff answers in writing in that same window. Spheromni sends no email and no notification of any kind, so the answer arrives there and nowhere else.
Changes to this policy
This is a draft and will be rewritten before it is used. When a version is finalised it will carry an effective date and a change history, and material changes will be described rather than summarised.
